Your Responsibilities:
- Team Leadership: Support, train, and supervise front office staff, including receptionists, security guards, and call center agents.
- Customer Task Management: Ensure accurate handling of all customer-related tasks, addressing complaints, and attending to special requests promptly.
- Staff Scheduling and HR Management: Schedule staff shifts and manage other HR-related tasks, fostering a positive and efficient work environment.
- Appearance Maintenance: Maintain an orderly appearance throughout the reception area, ensuring a welcoming atmosphere for visitors.
- Supply Management: Monitor stock levels and order office supplies, including stationery and information leaflets, to facilitate smooth operations.
- Management Reports: Prepare monthly management reports on customer feedback, providing insights for continuous improvement.
- Budget Management: Manage the departmental budget efficiently, optimizing resources for maximum effectiveness.
- Records Updating: Update files and records regularly to ensure accuracy and accessibility.
- Desk Tidiness: Ensure the front desk is tidy and equipped with all necessary stationery and materials.
- Shift Handover: Receive information from the previous shift manager and pass on pertinent details to the oncoming manager for seamless operations.
- Group Information Handling: Update group information, maintain, monitor, and prepare group requirements as needed.
Your Profile:
- Proven experience as a Front Office Manager or in a similar role.
- Strong leadership and team management skills.
- Excellent customer service and problem-solving abilities.
- HR management knowledge and scheduling expertise.
- Organizational skills with attention to detail.
- Budget management and reporting experience.
- Proficiency in maintaining an orderly and welcoming reception area.
- Effective communication and interpersonal skills.
