Your Responsibilities:

- Customs Documentation: Manage documentation, including customs paperwork, shipping manifests, and certificates of origin, ensuring adherence to regulations.
- Review and Update: Regularly review and update document management plans, procedures, and processes for continual improvement.
- Document Security: Ensure the security, accessibility, and proper distribution of organizational documentation, prioritizing confidentiality.
- Document Creation Process: Ensure documents are created following a documented and approved review and approval process, adhering to quality standards.
- Management Collaboration: Meet with management to provide updates on documentation schedules, standards compliance, and the progression of documentation tasks.
- Team Management: Lead and manage a team of document management professionals, providing guidance, support, and fostering a collaborative work environment.
- Operating Procedures: Review and update departmental operating procedures, ensuring alignment with organizational goals.
- Document Management Development: Develop document management plans, procedures, and processes to enhance efficiency and effectiveness.
- Audit Trail Maintenance: Ensure the maintenance of audit trails for all types of office documents, ensuring accountability and transparency.
- Confidentiality Assurance: Guarantee the confidentiality of sensitive information and documents, implementing measures for secure handling.
- User Privileges: Assign user privileges for digital tools to team members, ensuring proper access control and data security.
- Quality Management Implementation: Implement documents within the quality management system, ensuring compliance with quality standards.
Your Profile:
- Proven experience as a Documentation Executive or in a similar role, preferably in the transportation sector.
- Strong leadership and team management skills.
- In-depth knowledge of document management systems and procedures.
- Familiarity with customs documentation and shipping procedures.
- Understanding of quality management systems and processes.
- Effective communication skills, both written and verbal.
- Detail-oriented with a commitment to accuracy and compliance.
